Booking, Cancellation & Refund Policies

We understand that plans can change. This policy ensures fairness to all our guests while allowing us to prepare the best possible experience for you.

1) Scope

These policies apply to wine tours and charcuterie orders sold by All ABoard VA (“we,” “our”). By booking, you agree to these terms.

2) Booking & Payment

  • Payment is collected at booking. Your confirmation email includes a Change or Cancel Tour link to manage your reservation.

  • We may securely retain a card on file (via our processor) for permitted pass-through charges (see §4 and §6).

3) Tour Capacity

  • Public tours: shared group experience; select the number of seats (up to 10).

  • Private tours: one private party (no seat picker). Minimum 6 guests, maximum 10.

4) Winery Tasting Fees (pass-through)

  • Tasting fees are not included in tour price.

  • After itinerary is finalized, we charge your card on file for tasting fees as a pass-through (no markup), either before your tour or day-of, and we pay wineries on your behalf.

  • Once remitted—or inside 24 hours of your tour—tasting fees are non-refundable.

5) Wine Tour Cancellations & Refunds

  • 48+ hours before tour start: modify or cancel without penalty.

  • 48–24 hours: $50 per person cancellation fee.

  • <24 hours / no-show: non-refundable.

Refunds are returned to the original payment method; banks typically post within 5–7 business days. Modifications are subject to availability.

6) Party Size Changes (Private tours)

  • Our Private Tour is a flat rate for the whole vehicle (up to 10 guests). You’re welcome to bring fewer than 10, but the price doesn’t change. (Please share your final headcount 72 hours in advance so we can prep accordingly.)

7) Charcuterie & Snacks

  • Public & Private Tours: On-the-go boxes are per person—select quantity at checkout.

  • Charcuterie cancellation:
    48+ hours before pickup/delivery → no penalty
    48–24 hours$50 flat cancellation fee
    <24 hours / no-shownon-refundable

8) Pickup & Timing

  • Pickup windows vary by region; your confirmation and Getting Ready email list the exact window.

  • Charlottesville: pickup 8:30–9:15 AM; drop-off 7:30–8:15 PM at the same location.

  • Please arrive on time; late arrival may shorten your itinerary.

9) Weather & Force Majeure

Tours run rain or shine. If severe conditions or circumstances beyond our control require cancellation, you may reschedule or receive a full refund of tour fees (tasting-fee handling depends on winery policies).

10) Waivers & Eligibility

All required waivers must be completed before participating in any tour or receiving any charcuterie order. We reserve the right to cancel your booking without refund if waivers are not completed in full prior to the scheduled start time. Guests must be 21+ with government-issued photo ID for tastings.

11) Conduct & Safety

We reserve the right to refuse service or end a tour for unsafe or disruptive behavior (no refund).
